Equipment Maintenance Services
One plan, every equipment type.
Maintenance Matrix provides a service to improve your existing equipment maintenance practices and develop a managed Cost Savings Model. We work closely with your organization to identify, collect, and analyze your equipment inventory and how it's currently maintained, then identify where the greatest savings are available — before you commit to anything.

How it works
The mechanics behind the savings
This is the part clients ask about most: what actually changes when equipment breaks down.
Equipment failure occurs
You call Maintenance Matrix directly, or you call the service provider you already use — whichever is faster for your team.
Repair happens as usual
The provider completes the repair under the same standard of service. Nothing about the technical relationship changes.
Direct vendor payment
The invoice is sent to Maintenance Matrix, and we pay the provider directly — under your capped annual budget.
Equipment covered
Any electronic equipment, one plan.
The plan is built around electronic equipment across five main categories, plus anything else electronic in nature that doesn't fit neatly into one.
General office
Fax machines, printers, and folding machines.
Information technology
Computers, routers, and servers.
Laboratory & medical
Lasers, clinical analyzers, X-ray equipment, and microscopes.
Security
Alarm systems, vaults, safes, and card access systems.
Mail room
Binding machines, mail machines, and labeling systems.
Other electronic equipment
If it's electronic in nature, it's worth including in the review.
Who this plan is designed for
The Maintenance Matrix Cost Savings Plan is available to government agencies, public education institutions, and other public entities. Because it's structured around consolidating existing full-service agreements rather than replacing them, most organizations start seeing the cost savings immediately after implementation — not after a contract renewal cycle.
Where we're candid about fit
Not every piece of equipment belongs on the plan. Facilities equipment like elevators, escalators, and HVAC systems is usually better served by a labor-only agreement directly with the OEM or a qualified facilities vendor — we'll tell you plainly when that's the better option rather than force a fit that doesn't save you money.
FAQ
Services & savings
Do we have to put all of our equipment on the plan?
No. It's unrealistic for every piece of equipment to be best served under one plan. We do encourage clients to submit every current service agreement for analysis, so we can recommend the best option — and the right cost — for each piece of equipment.
What type of equipment does the plan cover?
General office equipment, information technology equipment, mail room equipment, security equipment, and communication equipment — fax machines, printers, telephone systems, computers, servers, and similar assets that are electronic in nature.
Does the plan cover facilities equipment like elevators or HVAC?
Usually not. Elevators, escalators, and HVAC are typically best maintained under a labor-only service agreement with the OEM or a qualified facilities vendor, and our experience shows that's usually the better fit for that category.
How does Maintenance Matrix deliver savings?
The plan replaces separate full-service agreements with one consolidated plan and applies proven alternatives, typically saving 20–27% off current maintenance expenditures.
